This Privacy Policy explains how we collect, use, and protect your information, across our digital Guides, our Tutoring Services, and our Webinars, in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

We collect the following personal data when you purchase a Guide:
When a Client submits a tutoring enquiry, we collect: the Student's name and year group, the subject(s) requested, availability notes, learning goals, the Client's email and phone number, and, where the Student is under 18, the parent or guardian's contact details.
When someone applies to join our tutor roster, we collect: full name, university and course, subjects and levels they can teach, tutoring experience, DBS check status, availability, their reasons for applying, email and phone number.
Once a tutoring match is confirmed, we also collect: messages exchanged between Client/Student and Tutor through our platform chat, session scheduling details (date, time, and meeting link), session notes, and a record of when a Tutor has acknowledged our Tutor Agreement. For safety and to help prevent tutoring arrangements being taken outside the platform, messages sent through our chat are automatically scanned using pattern-matching for indicators such as phone numbers, email addresses, or references to contacting someone via social media. This is an automated process; flagged messages may be reviewed by the Mentorify team.
When you submit a Personal Statement for review, we collect your name, email, year group, application deadline, target universities, what you'd like feedback on, and the text of your Personal Statement itself.
When you book an Application Strategy Consultation, we collect your name, email, phone number, year group, target universities, your current application stage, your availability, and what you'd like to cover in the session.
When you sign up for a webinar or join a waitlist, we collect your name, email address, and, optionally, your year group, so that we can confirm your place and send joining details closer to the date.
We do not collect or store your payment card details for any of our services. All payment processing is handled securely by Stripe. Please refer to Stripe's privacy policy for information on how they handle your payment data.
We do not use cookies for tracking or advertising purposes. We may use essential cookies necessary for the website to function correctly.

Tutoring enquiry, tutor application, and webinar sign-up data is accessible only to the Mentorify team for the purposes of matching, vetting, and running our sessions, and is never shared with unrelated third parties. All third-party providers are contractually bound to handle your data securely and only for the purposes we specify.
We retain your personal data for as long as your account is active, or for as long as reasonably necessary to facilitate a tutoring match or webinar, and for a period of 7 years thereafter for legal and accounting purposes. You may request deletion of your account and personal data at any time by emailing info@mentorify.co.uk, subject to any legal obligations we have to retain certain records.

We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, or destruction. These include encrypted data storage, secure HTTPS connections, and access controls. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.
Some of our third-party service providers may process data outside the UK. Where this occurs, we ensure appropriate safeguards are in place, such as standard contractual clauses approved by the UK Information Commissioner's Office (ICO).
Our Guides are not directed at children under 13. Our Tutoring Services, however, do include tutoring for 11+ entrance exams, which is intended for children who may be under 13, and our Webinars may also be attended by school-age students under 18. Where a Student is under 18, we require that the enquiry and any personal data about the Student be submitted by a parent or legal guardian, who provides their consent and their own contact details as the primary point of contact. For webinars, we ask attendees under 18 to confirm at sign-up that a parent or guardian is aware they are attending. We will correspond with the parent or guardian, not directly with a Student under 18, for all administrative matters. If you believe we hold data about a child that was not submitted with appropriate parental or guardian consent, please contact us immediately at info@mentorify.co.uk and we will investigate and delete it promptly where appropriate.
We may update this Privacy Policy from time to time. We will notify you of significant changes by posting the updated policy on this page with a new "Last updated" date. Your continued use of our services after any changes constitutes acceptance of the updated policy.
